EXAMINATIONS OFFICER  

 (DISTANCE LEARNING)

JOB OBJECTIVE

Responsible for the implementation University examination policies and integrity of the Distance Learning examinations.

DUTIES AND RESPONSIBILITIES:

  • Generate graduation awards list every trimester to facilitate approval of graduating students;

  • Generate a complete grade consolidation sheet for the graduating class every trimester indicating total units covered, grades attained and awards;

  • Maintain an effective and reliable graduating class database system (physical and electronic) and ensure efficient back-up of data;

  • Prepare and maintain duly signed and approved graduation award lists by Senate;

  • Print student academic records as required (transcripts, results slips, exam audits);

  • Monitor course requirements and identify and resolve any discrepancies;

  • In charge of mapping course transfers for the approved credits;

  • In charge of receiving and preparing draft examination papers for safe custody before moderation process;

  • Handle production of exams for the assigned programmes and ensure safe custody of the exams;

  • Consolidate and release examination and coursework results every trimester and release of results;

  • Typeset exams and ensure that all exam papers are proof read before production;

  • Release and receive examination material during exam administration periods and provide progress report on assigned programmes;

  • Facilitate faculty board moderation process by providing relevant reports;

  • Provide secretariat service to Deans and Graduation Committee meetings on examination matters and represent Department of Examinations in moderations done at faculty board meetings

 

QUALIFICATIONS AND EXPERIENCE

 

The candidate should possess the following qualifications and experience

  • Bachelor’s degree

  • 2 to 3 years’ experience in student academic programs is preferable

OTHER SKILLS AND COMPETENCIES

 

  • Proficiency in MS Office Suite and database management

  • Knowledge of the ERP system 

  • Good communication skills.
